Job Summary:
We're seeking an enthusiastic and versatile Business Operations & Technology Coordinator to join our team. This newly created position is perfect for someone who thrives on variety, enjoys problem-solving, and has a passion for using technology to improve business processes. You'll play a crucial role in enhancing our operational efficiency and driving the adoption of technology across the company.
Key Responsibilities:
Project Coordination (25% of time)
- Lead and facilitate both internal and client-facing projects
- Create and maintain project timelines and Gantt charts
- Coordinate and facilitate a key project to review existing use of technologies, including CRM and other software packages
- Identify opportunities for process improvements and technology adoption
- Collaborate with functional managers to embed efficient project management processes
- Support the implementation of new initiatives and change management processes
- Ensure all projects are running to plan and deadlines are me
Cross-Team Coordination and Technology Support (25% of time)
- Foster communication and collaboration between different teams
- Ensure effective use of Microsoft tools (Office 365, Teams, OneDrive, SharePoint)
- Provide guidance on Microsoft Dynamics CRM and support its optimization
- Work with managers to integrate technology into daily operations
- Facilitate cross-functional meetings and workshops
Knowledge Management and Standard Operating Procedures (25% of time)
- Develop and maintain a comprehensive company-wide knowledge library
- Ensure SOPs are up-to-date, efficient, and fully integrated into our knowledge management system
- Collaborate with department heads to document and improve best practices
- Lead initiatives to promote knowledge sharing and best practice adoption across the organization
Executive Support and Administration (15% of time)
- Manage directors' diaries effectively, including scheduling and prioritizing appointments
- Support directors with time management and meeting preparation
- Arrange high-level meetings and prepare necessary materials
- Conduct research and prepare reports to support executive decision-making
- Handle sensitive and confidential information with discretion
Training & Development (10% of time)
- Design and create engaging training materials for external presentations
- Work with team leaders to identify training needs and develop tailored solutions
- Facilitate workshops and training sessions on project management, knowledge management, and technology tools
- Develop resources to support ongoing learning and skill development across the organization
Qualifications
- Bachelor's degree in a relevant field OR equivalent work experience
- Excellent knowledge of Microsoft Office 365 suite, particularly Teams, OneDrive, and SharePoint
- Familiarity with or willingness to quickly learn Microsoft Dynamics CRM
- Strong project management and coordination skills
- Exceptional communication and interpersonal skills
- Ability to work on own initiative and proactively manage multiple priorities
- Demonstrated ability to work effectively in a cross-functional environment
- Strong problem-solving skills and meticulous attention to detail
- Ability to be assertive and proactive when working with busy managers

Pay: £28,000.00-£34,000.00 per year
