Fleet Maintenance Coordinator

Overview
We are seeking a dedicated and detail-oriented Fleet Maintenance Coordinator to join our team. The successful candidate will work closely with the Fleet Maintenance Compliance Manager to ensure all fleet maintenance events are meticulously planned, executed, and documented. Operational responsibilities include onboarding and disposal of assets, maintaining accurate vehicle and trailer records, liaising with third-party agents, engaging with Transport Operations, managing purchase orders and invoices, and providing maintenance updates to customers.

Responsibilities

  • Onboard and dispose of owned and rental assets in accordance with company policies and procedures.
  • Maintain accurate vehicle and trailer records, ensuring a minimum of 24 months of history per asset.
  • Coordinate with third-party repair and rental agents to schedule maintenance events and attain asset records.
  • Collaborate with Transport Operations to ensure timely asset release and availability to the Vehicle Maintenance Unit (VMU) team.
  • Assist in raising and processing purchase orders (POs) in conjunction with the Manager & Controller.
  • Circulate maintenance plans to Transport Operations and provide updates to customers as necessary.
  • Generate customer invoices for completed works in collaboration with the Manager & Controller.

Experience

  • Proficiency in MS Excel, Word, and Outlook.
  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Excellent verbal and written communication skills.
  • Team player with a strong work ethic.
  • Flexibility and adaptability to changing circumstances.
  • Ability to build and maintain positive relationships with customers and suppliers.
  • Detail-oriented and process-driven mindset.

Desirable

Previous experience in fleet maintenance coordination or related field.
